Setup Guide

Each section on the Setup page is an independent feature you can turn on or off. Start with just a greeting and layer on more as you need them.

Running a kennel or daycare mostly on the phone? This signup page preloads a greeting plus extract fields for owner, pet, service, dates, and care notes.

Missed Call Forwarding

Pick your carrier once (AT&T, T-Mobile, Verizon, or Other). StarAgent saves it and shows the matching enable and disable dial codes for your agent number.

Tip. Disable has its own step. For Verizon dial *73 from the business phone. AT&T and T-Mobile use ##61#.
1

Greeting

Every caller hears a greeting when your agent picks up. Type text for a spoken voice, record or upload your own audio so callers hear you directly, or pick a voice to read typed text.

Tip. Start here. A clear, natural greeting is the single biggest improvement you can make over standard voicemail.
2

Voicemail

After the greeting, your agent records the caller's message. The audio is always kept for playback and audits. Transcribe turns it into text only. Extract and Prompt add optional agent steps when you want structured or custom output.

Converts the caller's audio to plain text and saves it on the call record. The recording file stays attached for review. No template or extra agent steps. Default when you want readable voicemails without added interpretation.

Output

Hi, this is Sarah from Dr. Miller's office. I'm calling to confirm your appointment on Thursday at 2pm. Please call us back at 555-0142.
3

Text to Customer

Automatically text the customer after they hang up. Choose from three modes.

Texts the caller a copy of their own voicemail transcription right after they hang up. No template needed. Useful as a simple confirmation that their message was received.

Output

Hi, this is Sarah from Dr. Miller's office. I'm calling to confirm your appointment on Thursday at 2pm. Please call us back at 555-0142.

Inbound Texts

Answer people who text your agent number without calling first. Works for carrier text, MMS, and iMessage when BlueBubbles is connected. Replies use your Business facts and Memory, including photos when someone sends one.

Write freeform instructions for how your agent should reply to inbound texts and photos.

Example

Reply helpfully using business facts. If they send a photo, describe what you can and ask one clarifying question if needed.

Output

Thanks for the photo. That looks like a medium dog. We have boarding open this weekend. What dates work for you?
Tip. Known answers from Business facts and Memory send after your reply delay (with a little natural wiggle). If a fact is missing, your agent texts you and stays quiet with the customer until you answer.
4

Text to You

Get a text on your phone when someone leaves a voicemail. When a reply needs a fact you have not written down yet, your agent also texts you a short question, learns from your answer, and finishes the customer reply. You can list up to 4 phones.

Sends you the raw voicemail transcription as a text message. Quick way to read what the caller said without opening the dashboard.

Output

Hi, this is Sarah from Dr. Miller's office. I'm calling to confirm your appointment on Thursday at 2pm. Please call us back at 555-0142.
5

Email to Customer

Send the customer an email after their call. Works the same way as Text to Customer but over email. Choose from three modes.

Emails the caller a copy of their voicemail transcription. Works like the text version but over email, so you can include longer content or formatting.

Output

Hi, this is Sarah from Dr. Miller's office. I'm calling to confirm your appointment on Thursday at 2pm. Please call us back at 555-0142.
6

Email to You

Receive an email with the voicemail details. Pairs well with inbox rules or CRM forwarding. Choose from three modes.

Emails you the raw voicemail transcription. Pairs well with inbox rules, labels, or CRM forwarding.

Output

Hi, this is Sarah from Dr. Miller's office. I'm calling to confirm your appointment on Thursday at 2pm. Please call us back at 555-0142.
7

Voice Selection

By default your greeting uses a managed StarAgent voice. You can pick from dozens of natural sounding voices or clone your own.

8

Response Review

Approve post-call text and email drafts before customers see them. Add up to 4 reviewer phones or emails. Reviewers get the customer message and draft. Reply yes to send, no to cancel, or yes plus your rewrite. For a small edit, say yes then the change (for example yes but don't say good morning) and StarAgent revises the draft before sending. Oldest drafts go first when several are waiting. After you clear a review, texts from reviewers become ops chat for recent calls and limited setup changes. Inbound texts that the agent already knows send on their own.

Tip. Good while you are still dialing in voicemail replies. If the same phone is also on Text to You, that phone still gets the missed-call summary separately from the review draft. Inbound texts use Business facts after your reply delay unless a fact is missing.
9

Spam Control

Turn on once to quiet spam from website forms, inbound texts, voicemail, and Yelp. Your agent uses Business facts to tell real customer questions from SEO pitches, phishing links, and mass outreach. Spam is saved in history with an activity note. No reply, review, or lead billing.

Tip. Keep Business facts up to date so the classifier knows what a real inquiry looks like for your business.

Preview

The Voicemail, Text, and Email sections each have a Preview button next to Save. Clicking it generates a sample output using your current mode and template so you can see exactly what your agent will produce before going live.

The small arrow on the right side of the Preview button opens a scenario picker. Four built-in scenarios are included out of the box.

  • Appointment request. A caller trying to schedule a time.
  • Urgent callback. Someone who needs a reply right away.
  • Pricing inquiry. A prospective customer asking about cost.
  • Complaint or issue. An existing customer reporting a problem.

You can also add your own scenarios. Custom scenarios are saved in your browser and available across all sections. Use them to test edge cases or build a library of inputs that match your real callers.

Integrations

Connect StarAgent to external tools. These live in the Integrations section at the bottom of the Setup page.

Common combinations

Simple voicemail upgrade. Custom greeting and Voicemail (Transcribe). Callers hear a professional greeting and you get clean text transcripts.
Lead capture. Custom greeting, Voicemail (Extract), and Email to You. The agent pulls name, phone, and reason from each call and emails you a summary.
Full auto reply. Custom greeting, Voicemail (Extract), Text to Customer, Email to You, and Webhook. The customer gets a text, you get an email, and your CRM gets the structured data.
iMessage responder. Custom greeting, Voicemail, and BlueBubbles. After a missed call, the agent sends an iMessage from your Apple ID instead of a carrier text.
Reviewed call replies. Text to Customer with Response Review on. Post-call drafts wait for a yes. Inbound texts still answer from Business facts after your reply delay.
Texting facts. Keep Text to You on so missing answers text you first. Once Memory or Business facts have the answer, later customers get it without another ask.
Tip. You can turn any section on or off at any time without affecting the others. Start simple and add more as you see what your callers need.
